How to Write an Estimate That Wins the Job

When a homeowner compares three bids, they are not only comparing prices. They are asking: who understood my job, who seems trustworthy, and who will cause me the fewest headaches? A good estimate answers all of that.

1. Show you understood the job

Start with one or two sentences in the homeowner's own terms: "Clean and seal your 600 square foot paver driveway and front walk, re-sand joints with polymeric sand, wet look finish." It proves you read their post and looked at the photos.

2. Describe the scope clearly

  • What you will do, step by step.
  • Materials and brands, where it matters.
  • What is not included, such as moving furniture or permit fees.

Clear exclusions prevent arguments later and make your price easier to compare honestly.

3. Itemize where it helps

A single number can look high. Breaking it into parts (cleaning, sanding, sealing, optional add-ons) shows where the money goes and lets the homeowner choose options instead of walking away.

4. Give a timeline

  • When you can start.
  • How long the work takes.
  • Weather notes, such as no rain for 24 hours before sealing.

5. Explain payment terms

State the deposit, when it is due, and when the balance is due. A modest deposit with payment on completion builds trust.

6. Add your warranty and credentials

  • Labor warranty and any manufacturer warranty.
  • License number and insurance.
  • A link to your reviews and past work photos.

7. Respond fast and follow up once

Send the estimate quickly, while the homeowner is still deciding. If you have not heard back in a few days, follow up once with a short, friendly message.

Frequently asked questions

Should I give a price range or an exact price?

An exact price for a clearly defined job wins more trust. Use a range only when you cannot see the job yet, and explain what would change it.

Do I need to visit before bidding?

For large or complex jobs, yes. For simple jobs with good photos, a clear estimate with stated assumptions is often enough.
